After creating the use case diagram of the pre-enrollment system of the University of Southeastern Philippines, the next thing we need to create is an activity diagram based on the use case diagram we made.




On the activity diagram I made, I put the "actors" (based on the previous assignment we have which is the use case diagram) on the top row. Each actor is separated with vertical lines, to clearly identify the stages a student must undergo in a pre-enrollment procedure.


USE CASE: REQUIREMENTS

Actor: Student

Basically, the main actor here is the student since he is the one who do all the process and meet the other actors involve. First and foremost, the students must prepare all the requirements needed to apply for examination. After securing all the necessary requirements, the student will inquire at the University Guidance and Testing Office (UGTO).


USE CASE: ADMISSION

Actors: Student and UGTO (University Guidance and Testing Office)

If he can pass all the requirements, he can have the admission form. The student needs to fill up the required information included in the form.


USE CASE: PAYMENT

Actors: Student and Cashier

After signing the admission form, the student needs to pay the necessary payment for examination at the cashier.


USE CASE: EXAMINATION

Actors: Student and Examiner

The student will take the exam based on the schedule given by UGTO. There will be assigned examiner for each room where the exam will be conducted.


USE CASE: ENGLISH BRIDGE

Actors: Student, UGTO and Cashier

After the exam, the officer in charge for checking the results will be the one who will recommend if a student will take or not the English bridge class and exam. If in case a student needs to attend the class, he needs to pay the necessary amount at the cashier to be able to enroll for English bridge class (EBC). At the end of the English bridge class, they need to secure the certificate of completion which will be their proof that they completed the EBC and pass the EB exam.


USE CASE: INTERVIEW

Actors: Students and Adviser/Faculty

The students will go to their respective colleges to undergo an interview on one of the faculty members or the advisers. Each of them will be interviewed one by one. One student will be asked by one faculty only. Different questions will be asked and the students' answers will be rated by the faculties.


USE CASE: MEDICAL EXAMINATION

Actors: Student and University Doctor (Clinic)

After the interview, the student will need to undergo in a medical examination at the university clinic and must secure the certificate which will be given by the university doctor.


USE CASE: PAYMENTS

Actors: Student, officers of OCSC, Headlight and Local Councils

After completing the earlier procedures, the student needs to pay the fees in OCSC, Headlight and in their respective Local Councils.


USE CASE: ADVISING

Actors: Student and Adviser

Basically, after all of those procedures stated above are done, the student is now ready to meet his adviser. He is now ready to be advised and he will know what are the possible subjects he could have for the semester.

The Activity Diagram that is shown below is composed of the Use Cases that I mentioned in my Assignment 7 in SAD. The Activity Diagram shows the starting state of the activity, the flow of the works from different actors, and the end of the activity in the Pre-Enrollment System in USEP.


Based on the report on Modeling System Requirements which is my assigned topic, I reported the Fully Developed Use Case Description of a specific system. In a fully developed description, it includes the use case, the scenario of the use case, the triggering event, a brief description of the use case, the actors and stakeholders, its preconditions and postconditions, the flow of activities, and lastly the expectation condition. Here are the use case description for the use case that I mentioned in the Pre-Enrollment System in USEP.

5. The Cashier will issue Official Receipt
6. The student will get schedule in English bridging program class
7. The IL will give the schedule to the student
8. The student will take the English bridging program
9. The student will get the certificate after finishing EBP

Exception Condition: The aspirant got English score of 8 or higher in USEPAT.


Scenario Name: Medical Examination
Triggered event: The Student will have medical examination for future requirement
Description: Taking medical examination for the future requirement along the enrollment in USEP

Post-Condition: Taking the Medical Certificate
Main Flow:

Triggered event: The Student wants to enter a certain college in USEP
Description: Admission to the College in the University

Pre-Condition: Preparing for the needed Requirements
Post-Condition: Checking If Enters the College
Main Flow:
1. The student will take the Interview
2. The interviewer will conduct the interview
3. The interviewer will Encode the High school Grades
4. The interviewer will release the list of aspirants that will enter to the college
5. The aspirant will check the list of passers
Exception Condition: The aspirant will not comply the needed requirement for the interview

Activity Diagram


Base on the previous assignment, assignment number 7, I come up with this activity diagram above. In use case diagram, it only contains scenarios that the applicants go through. In this activity diagram, this contains a designated case which indicates other possible activity. This particular part of activity is the question inside the diamond. An example for this from this diagram is the applicant taking entrance exam. If the applicant passes the exam, he/she can now precede to interview procedure in the college/department of his/her choice. But if he/she fails, he/she will be automatically rejected to be admitted in the university.

POST-CONDITION: Student will get the result of the exam.

PRE-CONDITION: The student will pay all other fees at the OCSC, Local Council and Headlight. It is one of the requirements need in the advising.
POST-CONDITION: The student will gather all the requirements needed by the adviser and now ready for advising

Use Case: ADVISING
BRIEF DESCRIPTION: The students will gather all the requirements and give it to their adviser. The adviser will check all the requirements. After the adviser checked all the requirements, he/she will give the student his/her Pre-enrollment form and now ready for enrollment.
ACTORS: Student, Adviser
PRE-CONDITION: The student will give all the requirements needed by the adviser and the adviser will give the student his/her Pre-enrollment form.
POST-CONDITION: The student is now ready for enrollment

Use Case for Student Application
Actors: Student, UGTO Officer, Cashier
Description: The student inquires requirements in UGTO so that they will know all they must give for the student application in the university. Then the UGTO will receive the given requirements of the student application and give the applicants their respective USEPAT schedule. All the applicants can take USEPAT exam if they pay a USEPAT fee in the cashier. Then the applicant will pay in the cashier and receive an official receipt for the proof in UGTO that they can now take a USEPAT exam. The very important requirements on the application in the university is that they must a high school graduate and can give a Form-138 for the proof of finishing high school and also a Certificate of Good Standing from the Principal’s office. If the applicant cannot provide on those requirements then they cannot continue in applying in the university.

Use Case for USEPAT Examination
Actors: Student, UGTO
Description: After the UGTO has given a USEPAT schedule and their location or venue for examination then the student must arrive on those schedule he has given. After presenting the official receipt on the UGTO officer, then the applicant can now take the exam. The applicant must have a pencil for the exam. After taking the exam, the applicant will know if they can take and enroll a Bachelor’s Degree or Vocational courses depending on the result of the exam. The only thing that an applicant cannot take a USEPAT exam if they did not pay on the cashier for the USEPAT fee.

Use Case for English Bridge Program
Actors: Student, Institute of Language, Cashier
Description: The applicant must present the USEPAT result in Institute of Language for the verification of enrolling the applicant on English Bridge Program if he has a failing grade on English test of USEPAT exam or giving him exemption of EBP if he passes the English test. For the applicant who must take the EBP must first pay in the cashier for the EBP fee and module then the applicant must present the official receipt in Institute of Language for receiving the EBP module. The applicants undergo a 10-day program in EBP and after completing that requirement is that they receive a certificate for completing the program. Only the applicant who did not pay the EBP fee who cannot pursuit the English Bridge Program.

Use Case for Medical Examination
Actors: Student, Clinic Personnel
Description: The student must take a medical examination for the requirements in enrolling in the university. The student only goes to the clinic for the Physical Examination and then fill-up the required form for their data in the clinic.

Use Case for Interview
Actors: Student, College Faculty
Description: The student must first take an interview on their chosen college or course they want to take and then goes to the respective location of those colleges. They will be interviewed by the college faculties because they are the one who decide if the student passes and qualified in enrolling in their college and their respective courses. Only the student who take a USEPAT examination who can be interviewed by the college faculties.

Description: The student will provide the payment for admission fee. The cashier will issue me a receipt for validation.


Use Case -Online Registration

Description: Online registration will determine my existence to the said university. Thus it can help you if you want to know the result of the admission test.

Use Case -Exam Result
ACTORS: Student, UGTO OFFICE

Description: The student will definitely go to the office and ask about the result of the exam. Some documents will be presented for verification such as the receipt, and the schedule for the exam given by the UGTO office.

Use Case -Medical check-up
ACTORS: Student, School Health Guardian

Description: The basic thing that will be done is to have a medical confirmation that he/she is physically fit.
There will be records that will be created throughout the said check up.




Use Case –Interview
ACTORS: Student, College Interviewer

Description: At this point, student who passed the exam will have the right to choose what course they will in to. The college interviewer will ask the student about general question that relates to the course. Plus, some background checking will be a mandatory thing to do especially with the educational background.

Use case -Organizational Fees
ACTORS: Student, OCSC, HEALIGHT, ETC.

Description: Payments will be done on each building inside the university. Receipts will be issued for authentication.

Use Case -Scholarship Grants
ACTORS: Student, OSS Director

Description: The student will be inquiring for the different scholarships either government or private one that he/she can avail to. Records will be done when the director will be granting the request of the student.

Use Case –Advising
ACTORS: Student, College Adviser

Description: The assigned adviser will evaluate the students one by one and checked if the requirements for enrollment are complete. After that, if there is no problem, the students will be given Pre Registration Form (PRF), where they will jot down the subjects that they can take for the semester (including the subject code, subject description, scheduled time and room).
