Brief Description of Use Cases:

• Get Requirements – This use case describes the student acquiring and filling up the application for USEPAT exam.
• Pay Examination Fee – This use case describes the payment of the USEPAT examination fee by the student to the cashier
• Get Exam Schedule – This use case describes the confirmation of schedule for the USEPAT examination of the student by the UGTO officer.
• Issues Receipt for USEPAT – this use case describes the issuance of receipt for the USEPAT examination fee by the cashier.
• Take USEPAT Exam – this use case describes the student taking the USEPAT examination
• Get Result – this use case describes the student verification of the result of the USEPAT examination by the UGTO officer.
• Take EBP Exam – The student is required to take the English Bridge Exam
• Pay EBP Fee – This use case describes the payment of the English Bridge Program fee if the student failed the English Bridge Exam.
• Issues Receipt – this use case describes the issuance of receipt for the English Bridge Program fee by the cashier.
• Undergo EBP – This use case describes the actual participation of the student to the English Bridge Program
• Medical Examination – This use case describes the compulsory medical examination of the student by the attending nurse of the university.
• Interview by College - This use case describes the interview by the college faculty as the last part of the pre-enrollment system of the university.

• Secure Clearance – This use case describes the completion of the Clearance Form as signed by the student officials that is involve in the signing of clearances except for the professor.
• Secure Grades – This use case describes the completion of grades as given by the professor of the student.

Use case description for Admission:

1.) Student get an application form from UGTO officer
2.) UGTO officer provide the form
3.) Student pay entrance examination fee at the Finance Dept
4.) The cashier receives the payment and issue reciept
5.) Student accepts the the receipt from cashier
5.) Student give the receipt and form to the UGTO officer
6.) UGTO recieves it and issue the examination schedule to the student

Use case description for the Entrance Examination:

1.) Student take the exam
2.) Assigned personnel check the validity of the examinee
3.) Student get the result

Use case description for the Interview:

1.) Student choose a college
2.) In-charge teacher will interview the student
3.) In-charge teacher will give result

Use case for Medical Certification:

1.) Student go to clinic
2.) clinic personnel gives form
3.) Student will fill-up form then give it to the in-charge
4.) Student will be examine by the clinic nurse and dentist.

Use case for Pre-Enrollment:
1.) Student pay miscellaneous fee to OCSC,HeadLight.
2) OCSC,Headlight in-charge issue receipt
3.) Student receive the reciept
4.) receipt will be shown to in-charge advicer of the college
5.) in-charge teacher will give you pre-enrollment form.

BRIEF DESCRIPTION:


The use case diagram as shown in the figure above describes the pre-enrollment system of the University of Southeastern Philippines. Moreover, the diagram shows the primary actor which is the prospective student of the university. In order to be admitted, the student must comply with the requirement which includes the passing the USEP Admission Test (USePAT) which is conducted by the University Guidance Office (UGTO). If the student passed in the exam, he is required to pass the English Plus exam, otherwise, he has to undergo English Summer Bridge Program. I he passed the exam provided by the program, secure the other requirements such as the medical certificate provided by the USEP Clinic, passing the interview, high school grades especially in English, Math and Science which complies with the required grades in the chosen college and program, 85% for Baccalaureate Degree Programs and 83% for Diploma / Certificate / Associate Programs, birth certificate, 2”x2” passport pictures. After the requirements are secured, the forthcoming student is then admitted to the university but he is not yet officially enrolled unless he undergo USEP enrollment process and have the COR duly signed by the registrar as Officially Enrolled.

The use case diagram that I am going to show is based on what I have experienced or encountered when I was applying for admission in the University of Southeastern Philippines. I have divided the use cases into 13 use cases which are based on the scenarios in the pre-enrollment procedure. The use case diagrams are as follows.

Use Case 1: Applying For USEPAT Examination
Description: The process of acquiring application form for the USEPAT examination.

Process:
1.1 Applicant goes to the UGTO office and requests for an application form.
1.2 The UGTO in-charge produces the application form for the applicant.
1.3 Applicant fills up the application form.




Use Case 2: Payment of USEPAT Examination Fee
Description: The process of paying the USEPAT examination fee at the cashier as it is a requirement for acquiring examination schedule.

Process:
2.1 Applicant goes to the cashier, presents the form and pays the examination fee.
2.2 Cashier in-charge receives payment and then issues an official receipt.
2.3 Applicant acquires official receipt.



Use Case 3: Acquiring Schedule For USEPAT Examination
Description: The process of acquiring the schedule of applicant's examination.

Process:
3.1 Applicant presents the form and the official receipt to the UGTO in-charge.
3.2 UGTO in-charge produces schedule for applicant's examination.
3.3 Applicant acquires schedule for examination.




Use Case 4: Taking The USEPAT Examination
Description: The process of taking the USEPAT examination.

Process:
4.1 Applicant goes to the examination venue and takes the exam.
4.2 The examiner validates the applicants form and official receipt.
4.3 After validation the exam papers will be evaluated/checked.




Use Case 5: Acquiring USEPAT Examination Result
Description: The process of acquiring the applicant's USEPAT examination result at the UGTO office.

Process:
5.1 Applicant goes to the UGTO office and asks for the USEPAT result.
5.2 UGTO in-charge produces USEPAT result.
5.3 Applicant acquires USEPAT result.
5.3.1 If Applicant passes USEPAT exam the applicant proceeds to the English proficiency exam.
5.3.2 If Applicant fails USEPAT exam the application is denied.




Use Case 6: Taking The English Proficiency Examination
Description: The process of taking the English proficiency exam as basis if an applicants needs to enroll in the English bridge program or not.

Process:
6.1 The applicant goes to the examination venue and takes the exam.
6.2 The examiner validates the USEPAT exam of the applicant.
6.3 After validation the exam papers will be evaluated/checked.



Use Case 7: Acquiring English Proficiency Examination Result
Description: The process of acquiring the English proficiency exam from the UGTO office.

Process:
7.1 Applicant goes to the UGTO office and asks for the examination result.
7.2 UGTO in-charge produces the examination result.
7.3 Applicant acquires examination result.
7.3.1 If applicant passes exam, the applicant can proceed to the medical examination.
7.3.2 If applicant fails exam, the applicant must enroll in the English bridge program.



Use Case 8: English Bridge Program
Description: The process of taking the English bridge program.

Process:
8.1 Applicant takes the English bridge program.
8.2 Teacher/EBP in-charge administers or teaches the applicant during EBP.
8.3 Applicant finishes the English bridge program.
8.3.1 If applicant passes the EBP, applicant proceeds for medical checkup.
8.3.2 If applicant fails EBP, application is denied.




Use Case 9: Medical Examination
Description: The process of taking the medical examination through the university clinic.

Process:
9.1 Applicant goes to the university clinic and asks for a medical checkup.
9.2 Clinic in-charge administers the medical check-up and then produces the result.
9.3 Applicant acquires the medical examination reslut
9.3.1 If applicant passes, the applicant proceeds to department interview.
9.3.2 If applicant fails, the applicant is given restriction or is administered the check again.




Use Case 10: Department Interview
Description: The process of choosing a department and taking the department interview.

Process:
10.1 Applicant chooses a department and then takes the interview.
10.2 Interviewer validates the requirements and prerequisites and then interviews the applicant.
10.3 Interviewer produces the interview result.
10.4 Applicant comes back for the interview result.
10.4.1 If applicant passes, the applicant can enroll in the department.
10.4.2 If applicant fails, the applicant chooses another desired department and then takes the interview on that department.




Use Case 11: Signing of Clearance
Description: The process of acquiring clearance from the different concerned offices. This process is for the old students who have previously enrolled in the university as it is one of the requirements for enrollment.

Process:
11.1 Student goes to the different offices to acquire clearance.
11.2 Concerned offices verify and give clearance to the student to be able to enroll on the next enrollment.




Use Case 12: Payment of Miscellaneous Fees
Description: The process of paying the miscellaneous fees from the different concerned offices before proceeding to advising of subjects. Both old and new students of the university undergo this process before advising.

Process:
12.1 Applicant/Student goes to the different concerned offices and pays the miscellaneous fees.
12.2 Each concerned office issues official receipt to the applicant/student.




Use Case 13: Advising and Acquiring Subjects
Description: The process of undergoing advising and acquiring subjects before proceeding to the enrollment procedure. This is the last part of the pre-enrollment procedure and is also the start of the enrollment procedure.

Process:
13.1 Applicant/Student goes to his/her adviser and then undergoes advising.
13.2 Adviser checks and validates all requirements and prerequisites and then produces PRF (Pre-registration Form).
13.3 Applicant/Student acquires PRF and then copies the list of his/her subjects to the PRF.
13.4 Applicant goes back to the adviser for confirmation, in this case, the adviser's signature.
13.5 Applicant/Students proceeds to encoding of s
ubjects.

• Freshman - a typical applicant who aspires to be admitted in the university.
• Counselor(s) – facilitates the students from the first step down to the last step of the enrollment process

Use-cases:

• Submit necessary documents – it describes the pertinent documents to be submitted (i.e. photocopy of grades, application form, etc..)
• Validates the documents – this use case describes the validation of the submitted requirements by the applicant
• Give approval to take the exam – describes the permission given by the counselor to take the exam
• Pay entrance examination fee – describes the payment of the fee set by the university
• Submit official receipt to the counselor – describes the submission of the proof of payment
• Give examination schedule – describes the scheduling to the applicant for examination
• Take the examination – describes an applicant taking the admission test
• Follow-up examination result – describes a student verify his/her result
• Give printed examination result – describes the counselor giving the printed result of the examination






Actors:

• Freshman – a typical applicant who admires to be admitted in the university
• Interviewer – the one in-charge for the screening of the applicants by interviewing

Use-cases:

• Seek Interview Schedule – describes seeking interview schedules for the screening
• Verify English Proficiency Result – in this use-case there is a condition that validates if an applicant reached the passing grade set by the university on “English Proficiency”.
• Take Medical Examination - describes another requirement before a student will be admitted which is to take and pass medical examination.
• POST QUALIFIED APPLICANTS – this use case is the end point of the pre-enrollment process, if the applicant has satisfactory grade based on the requirement set by the college, the student is now ready for the enrollment process.

USEP Pre-enrollment System Use Case Diagram



Actors:
Applicant – the aspiring person for admission to the university
UGTO personnel – evaluates applications of students, prepares test schedules and evaluates the exam results
Cashier – collects payment
College Personnel – any college faculty who conducts the interview
Clinic Nurse or Doctor – attending nurse or doctor in the clinic who does the medical check-up
Dean/Adviser – where students submit requirements if fully qualified for the college they want to enroll in.

Processes/Use Case:
Fill-up and submit application form – The aspiring applicant first secures a form from the UGTO, fills it up and submits it.
Pay Testing fee – After submitting the form, the applicant pays an amount for the tests.
Gives exam schedule – After payment the UGTO personnel could now give the applicant a schedule for the exam.
Take USEPAT and English Placement Test – The applicant then arrive at the given schedule for the exams which is the USEP aptitude test and English Placement Test.
Evaluates test rating – The UGTO officer evaluates the results of the exam. If passed, applicant is ready for an interview
College/ Department Interview – The College personnel does and interview on the applicant after they pass the USEPAT.
Take English Bridging Program (if failed in English Placement Test) – The applicant takes the English Bridging Program if they fail to pass the English Placement Test.
Medical Check-up – The attending doctor or nurse does a medical check-up on the applicant.
Submission of requirements advising for admission – After complying and doing all the processes of pre-enrolment the applicant submits all the necessary requirements and the dean/adviser gives advice to the student before enrolling onto the university.

A. USEP's Pre-Enrollment System (New Applicant) Use Case :



1.1. Use Case: Present admission requirements
1.2. Actors: Applicant, UGTO Officer
1.3. Description: An applicant submits pertinent documents like filled-up application form, high school report card, ID picture. The UGTO officer validates document requirements if it is complete and filled-up properly. The UGTO officer gives admission test slip to the applicant for payment.

2.1. Use Case: Pay admission test fee
2.2. Actors: Applicant, University Cashier
2.3. Description: The applicant pays the admission test fee. The cashier accepts the payment and renders a receipt to the applicant.

3.1. Use Case: Take an admission test
3.2. Actors: Applicant, Exam Officer
3.3. Description: The applicant verifies the date, time, place, name of building, room number of admission test. The applicant takes his scheduled exam. The exam officer assures that the examinee who is taking the exam is the exact person. The exam officer starts and ends the exam. The exam officer secures that the admission test is properly and smoothly conducted.

4.1. Use Case: Go to college for interview
4.2. Actors: Applicant, Faculty/Dean
4.3. Description: The applicant goes to college where he is suited for based on the result of his admission test. The faculty/dean interviews the applicant about the specific subjects regarding the course the applicant chooses.

5.1. Use Case: Submit self for medical exam
5.2. Actors: Applicant, Medical Officer
5.3. Description: The applicant undergoes physical check-up in order to determine the health and fitness of mind and body. The medical officer gives a medical certificate if the applicant passes all medical tests.

6.1. Use Case: Abide for subject bridging program
6.2. Actors: Applicant, Subject Bridge Program Officer/Instructor
6.3. Description: The applicant enrolls the subject bridging program like Math plus and English plus. The subject bridge program officer/instructor organizes and teaches this program.


B. USEP's Pre-Enrollment System (Old Student) Use Case :



1.1. Use Case: Comply all subject grades
1.2. Actors: Student, Teachers
1.3. Description: The student gets the grades from the subjects he is enrolled for in previous semester through the scholastic passbook. The professor gives a passing or failing grade to a particular student and subject.

2.1. Use Case: Comply complete clearance form
2.2. Actors: Student, Class Mayor, Academic Org. Officer, Local Council Officers, OCSC Officer, OSS Director, Bookkeeper, ROTC/CWTS Officer, Registrar, Class Adviser, College Dean
2.3. Description: The student settles all his obligations and liabilities from different offices of the university through student clearance form. The Class Mayor, Academic Org. Officer, Local Council Officers, OCSC Officer, OSS Director, Bookkeeper, ROTC/CWTS Officer, Registrar, Class Adviser, College Dean sign their respective entries in the clearance form if the student is cleared from any obligations.

In my own perspective I have included four actors for the use case diagram of USeP's Pre-enrollment System, these are the following:

  • UGTO - the official guidance office of the university, which is responsible for the first steps of the new applicants.


  • Cashier - the one who accepts payments and issues Official Receipts for verification of payments.


  • College Department - there are several College Departments in the university, thus, each departments have respective interviewer or evaluator.


  • Applicant - acts as the new applicants of the university.

  • Presents requirements - the start of the whole process.


  • Ready for enrollment - indicates the end of the pre-enrollment process. This will be followed by the enrollment process.


As you can see on the figure, the very first office an applicant must go through is the UGTO office. There, applicants must submit valid requirements. The office will provide an application form, in which the applicants are expected to fill-in. Next thing to do is, pay every fees that are needed in order to be allowed to take the entrance exam.

After taking and passing the entrance examination, there would be another examination that should be taken, which is the English Plus exam, if the applicant fails to pass the exam, then he/she would have to enroll a summer class, which is called the English Bridge Program.

After taking the exam and acquiring the result, the applicant can now proceed to his/her desired College Department in order to be evaluated and interviewed. After passing the evaluation, the applicant is now ready for health check-up. Then the applicant is ready for enrollment.

This is the pre enrollment procedure of the first year students.






This is the enrollment system. First, you need to pay all the school fees such as the school paper, insurance, local council fees and so on. Second, present the receipts to your adviser for advising then he/she will issue a PRF for you to fill-up on your required subjects. Then, after filing up the PRF you’ll proceed to the encoder to encode your subject. And then, proceed to the cahier to pay your tuition fee. Lastly, proceed to the registrar office and submit all the requirements to be officially enrolled.

Triggering Event: The aspirant arrives to UGTO Office.
Basic Course:

1. Aspirant gets and fill-up form.
2. UGTO Officer receives and checks the form.
3. If correctly filled-up, UGTO provides payment slip
4. Aspirant submits slip and pay bills to cahier.
5. Cashier receives the payment and issue receipt.
6. Aspirant show receipt to UGTO Officer.
7. UGTO Officer assigns examination schedule.
8. Aspirant gets the schedule.
9. End of Use case.

Pre-Condition: none
Post-Condition: The aspirant now has examination schedule.


Use Case Name: Entrance Examination Process
Actors: Aspirant, and Examiner
Description: The Use Case describes the flow of event during the entrance examination proper in the university.
Triggering Event: The aspirant arrives to examination room assigned to her/him.
Basic Course:

1. Examiner checks the validity of aspirant.
2. If valid, aspirant may now take the exam.
3. If done, the examiner assesses the exam.
4. The examiner afterwards generates results.
5. Aspirant gets the exam results.

Pre-Condition: The aspirant has his/her assignation for the exam.
Post-Condition: The aspirant has his/her entrance exam result.


Use Case Name: Medical Examination Process
Actors: Aspirant, Clinic In-Charge, Univ. Nurse
Description: The Use Case describes the flow of event during the medical examination proper in the university.
Triggering Event: The aspirant arrives to the clinic.

2. Clinic In-Charge receives and checks the form.
3. If correctly filled-up, aspirant will be check-up by the Univ. Nurse.

Use Case Name: Interview Process

Description: The Use Case describes the flow of event during the interview proper in the university.
Triggering Event: The aspirant arrives to the room allocated for interview.
Basic Course:

1. Aspirant chooses a college and a course.
2. Student must be interviewed.
3. In-charge interviewer conducts the interview.
4. In-charge interviewer assesses the interviewee.
5. If pass, aspirant name will be posted.
6. The result will be seconded by the Dean.
7. End of use case.

Pre-Condition: The aspirant passed the medical examination.
Post-Condition: The aspirant passed the interview and may enroll now as student of the university.

This is the first part of the pre-enrollment system of our university, the student needs to have his/her schedule for the USEP’s Admission Test in order to have an exam then the personnel of the University’s Guidance Office will give to her. After a week or later they can have the result of the exam.



The University's program for English Bridging will first engage in paying with the programs fee. Then the UGTO in charge will clarify the schedules for the student. The student will have undergo the 10 days bridging program then they can net the result. After it they can be ready for enrollment.



The medical examination will be used as one of the requirements for the enrollment.



In the enrollment proper you have to pay first the other fees, and then they can now proceed to the interviewer for interview. After it, they can proceed to encoding then pay the tuition fee in the cashier. After, they can verify to the registrar if they are officially enrolled.
